RE: REQUEST FOR QUOTATION FOR SUPPLY AND DELIVERY OF INTERNET ROUTERS AND TABLETS FOR BOTSWANA INTERGRADED TRANSPORT PROJECT (BITP)

• The Government of Botswana (hereinafter called “Borrower”) has received financing from the International Bank for Reconstruction and Development IRD (the “Bank”) in the form of a loan (hereinafter called “loan” toward the cost of the Procurement of Internet Routers and Tablets for BITP. The Ministry of Transport and Communications, an implementing agency of the Client, intends to apply a portion of the proceeds of this loan to eligible payments under the contract for which this Request for Quotation is issued.

• The Client now invites quotations to provide the following Goods (hereinafter called “Goods”): request for quotation to supply and delivery Internet Routers and Tablets for Botswana Intergraded Transport Project (BITP)

• Please provide your price quotation for the supply, delivery to Ministry of Transport & Communications office as per the quantities shown on the attached specification of goods sheet.

• Please note that preference for citizen companies SHALL NOT apply to this RFQ

• Quotations must be on your official signed and dated proforma invoice/quotation

• Bidders must offer for all items & quantities shown on the specification sheet

• Price should be quoted with Import Duty (if applicable) and VAT in Botswana Pula or any US Dollar

• Your price must be valid for minimum 90 days from the date of submission.

Quotations clearly marked “Supply and Delivery of Internet Router and Tablets” for Botswana Intergraded Transport Project (BITP), must be submitted in plain sealed envelopes to:

• Deadline for submission is April 15, 2021 at 08:00 GMT+2:00 (Botswana time) Ground Floor Office

• The version edition of Incoterms shall be: Incoterms 2010 (all cost inclusive and delivered to Ministry of Transport Head Office)

• Delays in delivery of goods will incur a penalty of 1.5% of contract price per calendar week of delay with maximum of 10% of contract value from the date of issuance of Notification to Award. If 10% is exceeded, contract may be cancelled. Delivery shall be within 30 calendar days from the acknowledgement date of Notification to award.

• Payment: 100% within 60 days of invoice date and receipt & acceptance of correct goods.

• Warranty: warranty period as per standard manufacturer warranty

• Bidders must themselves or through their Agents provide after sales service in Ministry of Transport and Communications head office, Gaborone, Botswana for the goods to be supplied

• Evaluation Criteria:

• Tenderers who are domiciled in Botswana must, in order to be considered for the award of the contract, be registered with the Public Procurement and Asset Disposal Board in the following categories: Code: 203 Sub code(s): 01

• Foreign companies must be in possession of documentation defining the constitution or legal status, place of registration and principal place of Business.

• A copy of a Valid Tax Clearance Certificate or exemption thereof issued by BURS. Such Certificate is subject to online registration verification.

• The evaluation and comparison of bids shall be on CIF (Cost, Insurances and Freight paid for by the Seller to the destination which Head office)

• Payment schedule as proposed by bidders, delivery time

• Award: An order or contract will be placed with the bidder who offers the lowest evaluated price quotation, which complies with the attached specifications and condition of this request for quotation. An order will be placed in parts i.e. one bidder can supply each of the items individually.
